QuickBooks Desktop Web Connector
Connect QuickBooks Desktop through the QuickBooks Web Connector and diagnose connection or sync problems.
You can connect one QuickBooks Desktop company to Levelup through Intuit's QuickBooks Web Connector (QBWC). QBWC pulls from Levelup when it runs on your Windows machine; Levelup does not open a connection to your computer or write data back to QuickBooks Desktop.

Before you connect
Prepare the Windows machine that runs QuickBooks Desktop:
- Install QBWC on the same machine as QuickBooks Desktop. Download the version that matches your QuickBooks Desktop version from Intuit's QBWC installation guide.
- Open the target QuickBooks company file and sign in as a QuickBooks administrator before importing the connection file.
- Keep the machine powered on and signed in whenever you expect QBWC to run.

- Go to
Integrations. - Select Connect QuickBooks Desktop. The setup wizard opens in an in-app dialog; it does not open an OAuth sign-in popup.
- Install QBWC if it is not already installed, then select Next.
- Select Generate connection file. Copy and store the displayed QBWC username and password before continuing. The password is shown only once.
- Select Download .QWC file.
- On the Windows machine, double-click the downloaded
.QWCfile. QBWC opens and adds the Levelup connection. - Paste the QBWC password when QBWC requests it.
- In QuickBooks Desktop, approve the application certificate as an administrator. Select Yes, always; allow access even if QuickBooks is not running so QBWC can run scheduled pulls.
- In QBWC, select the Levelup row, check its box, and select Update Selected. This starts the first pull.
The wizard shows Connected after Levelup receives a poll. It shows Syncing after data is received and processed.
Link the Levelup company
The connection must be linked to a Levelup company before any accounting data can sync.
- In the setup dialog, select a company from the Link a company to start syncing list.
- Select Link company.
- Return to the verification step and run Update Selected in QBWC if the first poll has not arrived.
You can close the dialog with Finish later before the first sync completes. The connection remains provisioned, but it will not sync until it is linked to a company and QBWC runs.
Understand the pull schedule
.QWC file includes the configured run interval, so a scheduled pull occurs only when QBWC is running on the Windows machine.To poll immediately, open QBWC, select the Levelup row, and choose Update Selected. Use this after setup, after linking a company, or when you need to prompt the next scheduled pull without waiting for its configured interval.
Check connection and sync state
The setup wizard uses these labels:

| Sync failed | The latest sync job returned an error. | Review the displayed error and select Retry sync, then run Update Selected. |
For diagnosis, Levelup records the latest successful poll time, the configured QBWC interval, the derived connection state, whether the connection is linked and has synced data, and the latest sync error when one is available. The status indicator shows the last poll time in UTC and the current state; the wizard shows the latest sync error when a sync fails.
Resolve common setup blockers
The setup dialog will not advance
.QWC file and password, so download and import a new file.QBWC does not start the first pull
- Open QuickBooks Desktop with the target company file open.
- Confirm that QBWC contains the Levelup row and has the password.
- Confirm that you approved Yes, always; allow access even if QuickBooks is not running.
- Select the Levelup row in QBWC and choose Update Selected.
- Keep the Windows machine powered on and signed in until the first sync completes.
After 20 minutes without a first poll, the setup dialog shows the same checklist.
QBWC reports an error while adding the .QWC file
If you see an import error such as QBWC1048:
- Update QBWC to a current version that supports modern TLS.
- On Windows 8.1 or Windows Server 2012, enable TLS 1.2 with QuickBooks Tool Hub, then import the file again.
- Download a fresh
.QWCfile and import it after removing the older Levelup entry from QBWC.
Access and limitations
- Owner or Admin role is required to manage organization integration accounts.
- The Levelup connection is read-only. Levelup does not write data back to QuickBooks Desktop.
- QBWC is a Windows application. Scheduled pulls stop when QBWC is not running or the Windows machine is unavailable.
- The first authorization prompt requires the QuickBooks company file to be open. Use the always-allow option for unattended scheduled pulls.
- This flow does not use OAuth, so browser popup blockers do not apply. The setup dialog can be closed with Finish later and reopened from
Integrations.
