Scheduled report delivery
Schedule recurring reports, choose recipients per schedule, and manage every workspace schedule from a single page.

A schedule is bound to a single report. When the schedule fires, it runs the same report you would generate manually, then delivers the result through the channels you enabled on the schedule (client workspace archive, email, inbox notifications).
You can run schedules monthly or quarterly. The next run time is computed in UTC and previewed in your local timezone when you create or edit the schedule.
Create a schedule
You can only schedule a report after the report is finalized. Drafts are not schedulable.
- Go to
Reports > Schedules. - Click Schedule a report in the top-right of the table.
- Pick the report from the Report dropdown. Only finalized, non-archived reports are listed.
- Enter a Name for the schedule (up to 120 characters).
- Choose Repeat —
Every monthorEvery quarter. - Choose Day of the month (1 through 28) and Time of day in your local timezone. Levelup converts the time to UTC for storage.
- Toggle the delivery options — Deliver to client workspace, Email workspace members, Inbox notifications.
- If Email workspace members is on, optionally add Additional email recipients (up to 20 external email addresses).
- Click Create schedule.

Each schedule has its own recipient set. The dialog has three delivery toggles and one list of external recipients:
- Deliver to client workspace — saves the generated PDF to the archive of every client workspace that shares the report's company.
- Email workspace members — emails members of every workspace the report is delivered to.
- Inbox notifications — posts a notification to the inboxes of those same workspaces.
- Additional email recipients — sends the email to specific external addresses, such as an external accountant. Limited to 20 entries per schedule.
The dialog shows a Delivers to panel summarizing which company, which workspaces, and which recipients receive each run.
If a report's company is not shared with any client workspace, the workspace-based options have no effect for that schedule. External recipients still receive the email if you list them.
Schedules table
Reports > Schedules lists every schedule across the workspace, regardless of which report it belongs to.The table has these columns:
- Company — the company the underlying report covers.
- Delivers to — the count of client workspaces sharing that company. Hover for the workspace names.
- Recipients — a summary of workspace members and external email recipients. Hover for the full list.
- Report — the report title with a link to the report. The schedule name appears below.
- Cadence — the recurrence and time, formatted as
Monthly on the 1st at 9:00. - Next run — the next scheduled firing time.
- Last run — the timestamp of the most recent run, with a status badge and any error message.
- Status —
ActiveorPaused.
To act on a schedule, click the row's overflow menu:
- Edit opens the schedule form.
- Pause (or Resume) flips the schedule's active state. Resuming recomputes the next run time from now.
- Delete removes the schedule and stops all future deliveries.
Read only for those rows.Pause or delete a schedule
Pausing or deleting a schedule is a write action against your workspace. If your workspace requires two-factor authentication, you must have 2FA enrolled on your account before you can pause or delete a schedule. The action fails with a permission error otherwise.
To pause:
- Open
Reports > Schedules. - Click the overflow menu on the schedule row.
- Click Pause.
Paused state and the schedule stops firing until you resume it.To delete:
- Open
Reports > Schedules. - Click the overflow menu on the schedule row.
- Click Delete.
- Confirm in the dialog.
Deletion is permanent. Past deliveries are not removed.
Where delivered reports appear
When a schedule fires, two surfaces are updated:
- Reports tab —
Reports > Reportslists the generated report under the same row as the source report. The status badge showsGeneratingwhile the run is in flight andReadywhen it completes. The latest job is downloadable from the Download button on that row. - Schedules tab — the row's Last run column updates with the run timestamp and a status badge (
Completed,Partial,Failed, etc.). On failure, the error message appears below the timestamp.
Recipients receive the report through the channels you enabled — PDF in the client workspace archive, email with the PDF attached, inbox notification, or any combination.

To create or edit a schedule on a company-scoped report, you need write access to that company. Schedules owned by a different workspace are always read-only — only the owning firm can manage them.
Limitations
- Schedules can only be added to non-draft reports. Finalize the report first.
- Cadence is limited to
monthlyorquarterly. Weekly, daily, and ad-hoc schedules are not supported. - The day of the month is capped at 28 to guarantee the schedule runs every month.
- Times are stored in UTC. Schedules may shift by an hour around daylight saving transitions.
- External recipients are limited to 20 email addresses per schedule.
- A schedule run only delivers to client workspaces that already share the report's company. If no workspace shares the company, the workspace channels have no effect.
- The
Delivers tocount includes only workspaces sharing the company at the time the schedule fires. Workspaces added later do not retroactively receive past runs. - If your workspace requires two-factor authentication, you must have 2FA enrolled to pause or delete a schedule.
