Viewing and Managing Reports

View, preview, download, archive, and manage report generation jobs and templates.

Overview

After creating reports, you can manage them from the Reports section. This includes previewing report content, downloading PDFs, archiving old reports, monitoring background generation jobs, and working with report templates.

Reports Tab

Navigate to Organization > Reports to see the main reports table.

Report Table Columns

Each report row displays:

  • Report -- The report name (from the custom title or defaulting to the company name / "Portfolio").
  • Period -- The cadence (Monthly, Quarterly, YTD, Annual) and end month.
  • Status -- The current state of the report:
    • Draft -- The report configuration has been saved but not yet generated.
    • Generating -- A background job is rendering the PDF.
    • Completed -- The PDF is ready for download.
    • Failed -- Generation encountered an error.
  • Created -- The date the report was first created.

Report Actions

Click the actions menu on any report row to access:

  • Edit (draft reports only) -- Reopens the report wizard with your saved configuration so you can modify sections and regenerate.
  • Preview -- Opens a full-page preview of the report content.
  • Download PDF (completed reports only) -- Downloads the generated PDF file. The filename includes the report name, cadence, and date period.
  • Archive -- Moves the report to the archive. Archived reports are removed from the main table.

Selecting and Archiving Multiple Reports

  1. Use the checkboxes to select one or more reports.
  2. Click the Archive button that appears in the toolbar.
  3. Confirm the bulk operation.

All selected reports are archived. The process runs in the background and you are notified of the result.

Archive Tab

Click the Archive tab to view previously archived reports.

  • Archived reports are listed with the same columns as the main table.
  • You can permanently delete archived reports using the row actions. Deletion is irreversible.

Jobs Tab

Click the Jobs tab to monitor background report generation jobs.

Job Table Columns

  • Report -- The report associated with the job.
  • Type -- Either a single PDF or a multi-PDF zip (for per-company separate PDFs).
  • Status -- The job state:
    • Pending -- Queued for processing.
    • Processing -- Currently generating.
    • Completed -- Finished successfully.
    • Partial -- Some pages generated but others failed.
    • Failed -- The job encountered an error.
    • Canceled -- The job was manually canceled.
  • Progress -- Shows how many pages have been completed out of the total.
  • File Size -- Size of the generated file (when complete).
  • Expires -- When the generated file will be automatically cleaned up.
  • Started / Completed -- Timestamps for the job lifecycle.

Job Actions

  • Download -- Download the generated file (completed or partial jobs).
  • Retry -- Re-run a failed or partially completed job.
  • Cancel -- Stop a pending or in-progress job.
  • Delete -- Remove a job record permanently.

Filtering Jobs

Use the status filter dropdown to show only jobs in a specific state (for example, show only failed jobs to identify issues).

Report Templates

Report templates save a reusable configuration of report sections and options. When creating a new report, you can select a template to pre-fill the wizard.

Managing Templates

Template management is available to Owner and Admin roles. Templates are configured with:

  • A name and scope (portfolio or company).
  • A set of enabled pages with their display options.

Templates appear in the template dropdown on Step 1 of the report wizard.

Previewing Reports

Click Preview on any report to open a full-page view of the report content. The preview renders the report pages in the browser so you can review content before downloading.

From the preview page, you can:

  • Navigate between pages.
  • Generate or regenerate the PDF using the Generate button.
  • Return to the reports list.

If the report data is stale or has been updated since the last generation, you may see a notification suggesting you refresh the data.
